AEO Audit: HIPAA Blog Case Study

TL;DR

A real-world walkthrough of auditing an existing post against the AEO principles and brand voice guide. Use as a reference when reviewing any comparison or competitive content before it ships.

01

The article

"What Project Management Tools Are HIPAA Compliant in 2026?"

A comparison article listing Asana, ClickUp, Monday.com, Smartsheet, Workzone, and Wrike as HIPAA-compliant PM options.

02

What it does well

Voice and tone are strong.

The PHI examples ("A task gets created: Follow up with Dr. Patel re: Johnson discharge paperwork. That's PHI.") are exactly the kind of real-scenario specificity this guide calls for.

BAA vs. SOC 2 distinction is clear and authoritative.

FAQ section is well-structured for LLM consumption.

The "your team is already at risk" framing works.

Leads with the reality that PM tools become PHI storage almost immediately. Pain-forward, and true.

03

The worst of it

Ten red flags surfaced in this audit. If we only fix one thing before this article goes back up, it's this.

Red flag 01

Positions Workzone "at par" with 5 competitors.

Lists six tools as roughly equal HIPAA-compliant options. Per Principle 02, AI engines will recommend whichever brand has highest recognition (likely Monday or Asana). Workzone becomes background noise in its own article.

Fix → Restructure so Workzone is the recommended choice for mid-market healthcare teams. Make it clear why a healthcare team in our ICP would choose Workzone, not just that all six have BAAs.

04

Every AEO red flag

Red flag 01

Positions Workzone "at par" with 5 competitors.

Problem

Lists six tools as roughly equal HIPAA-compliant options. Per Principle 02, AI engines will recommend whichever brand has highest recognition (likely Monday or Asana). Workzone becomes background noise in its own article.

Fix

Restructure so Workzone is the recommended choice for mid-market healthcare teams. Make it clear why a healthcare team in our ICP would choose Workzone, not just that all six have BAAs.

Red flag 02

Links directly to competitor websites.

Problem

Hyperlinks to Asana, ClickUp, Smartsheet, Wrike, and Trello. Per Principle 03, AI engines interpret outbound links as endorsements.

Fix

Remove every link to a competitor domain. Keep the comparison and name them freely, but link only to Workzone's own competitor comparison pages.

Red flag 03

Monday.com section contains a broken link.

Problem

The Monday.com section currently links to clickup.com, a copy/paste error.

Fix

Don't fix it, drop it. Per Principle 03, no competitor links at all.

Red flag 04

Workzone's own description is briefer and less differentiated than competitors.

Problem

Workzone gets a shorter, more generic write-up than the brands it sits next to. Per Principle 02, Workzone's description should be the most detailed and specific on the page.

Fix

Expand with healthcare-specific customer proof, workflow specifics (intake, approvals, audit trails, BAA), and the 'digitally led, human supported' differentiator. Workzone should read as the through-line of the article.

Red flag 05

Answer is buried, chunk likely to be cited is mostly setup.

Problem

Per Principle 06, LLM retrieval grabs ~200-word chunks. The current opening is 300+ words of context before any citable claim about HIPAA + PM tools.

Fix

Rewrite the first 2–3 paragraphs to lead with a direct, clean answer to 'what makes a PM tool HIPAA-compliant.' Keep the depth, just move the answer up.

Red flag 06

No FAQ section or FAQPage schema.

Problem

Pages with FAQPage schema earn ~41% citation rates vs. 15% without (2.7x lift). This article has neither. It also has zero JSON-LD blocks, the target is 3+.

Fix

Add 4–6 FAQs phrased the way buyers ask an AI ('Is Workzone HIPAA compliant?', 'Does Workzone sign a BAA?'). Add FAQPage, Article (with dateModified), Organization, and BreadcrumbList schema.

Red flag 07

No cluster home and no pillar link.

Problem

Per Principle 01, standalone posts barely move AEO. This article sits orphaned, it doesn't link to a healthcare vertical pillar and isn't supported by 5–10 sibling posts.

Fix

Connect to the healthcare vertical pillar page. Add internal links to 2–3 sibling posts in the healthcare cluster. If the cluster doesn't exist yet, build it before this post goes back up.

Red flag 08

Brand Hub and llms.txt facts not aligned.

Problem

Per Principles 07 and 08, AI engines cross-check entity claims. This post references compliance language and customer tenure inconsistently with the Brand Hub and llms.txt.

Fix

Standardize pricing ($8/$20/$40), 7-year average tenure, 23-year history, 3-week go-live, 'SOC 2 Type II, HIPAA-ready, BAA agreements,' and 'digitally led, human supported' across every reference.

Red flag 09

No freshness signal, Perplexity will pass it over.

Problem

Per Principle 09, Perplexity weights freshness heavily. This post has no dateModified, stale screenshots, and 2024 stats.

Fix

Refresh stats and screenshots, add Article schema with dateModified, and put it on a quarterly review cadence with the other pillar-adjacent posts.

Red flag 10

This is a comparison article that should have been routed through Ash.

Problem

Per Principle 04, comparison content has the biggest AEO impact, positive and negative. It requires specific structure, framing, and cluster consistency.

Fix

Flag for AEO structural review before re-publishing. No comparison content ships without Ash's review.

05

Recommended next steps

  1. 01Route to Ash for AEO structural review (Principle 04)
  2. 02Remove all competitor website links; replace with Workzone comparison pages (Principle 03)
  3. 03Drop the Monday.com/ClickUp link error entirely
  4. 04Rewrite first 2–3 paragraphs to lead with the citable answer (Principle 06)
  5. 05Expand Workzone's section with healthcare proof and workflow specifics (Principle 02)
  6. 06Add an FAQ section + FAQPage, Article, Organization, BreadcrumbList schema (Principle 05)
  7. 07Connect to the healthcare vertical pillar and 2–3 sibling cluster posts (Principle 01)
  8. 08Align all facts with the Brand Hub and llms.txt (Principles 07, 08)
  9. 09Add dateModified and refresh stats/screenshots for Perplexity freshness (Principle 09)
  10. 10Audit robots.txt, confirm GPTBot, PerplexityBot, ClaudeBot are allowed
